Library Hall Use

THE LIBRARY HALL POLICY AND AGREEMENT

1.            The Franklin Public Library Hall is available free of charge to any organization in Franklin engaging in educational, cultural, intellectual or charitable activities and events.  Use is subject to the approval of the Library Director and/or the Board of Trustees.

2.            One week's notice to the Library Director is required in order to reserve the hall for a specific date.  Reservations may be made up to a year in advance.

               Any new group or organization wishing to reserve the hall must first contact the Director for an initial discussion of usage procedures.  This form must be updated annually in the month of January.  The person signing the form must be a Franklin resident over the age of 18 with a valid library card and will be held responsible for the group’s adherence to usage rules.

3.            Use of the library hall for meetings shall be subject to the hall's availability pursuant to normal library hours.

4.            Those using the hall are expected to leave it in the same condition in which they found it.  This includes removal of trash, cleaning of tables, replacement of furniture and a sweep of the floor if necessary.  A broom and dustpan will be available.

                The organization will be held financially responsible for any actual damage to the room or its contents.  A bill will be prepared by the Director based on cost to replace or repair and presented to the signer of this agreement.

5.            Proper decorum and respect for the premises by those using the hall are expected at all times.

6.            There will be no smoking or use of alcoholic beverages or drugs on the premises.

7.            No activity shall be conducted in the hall which shall be contrary to the fire regulations for the building.

8.            The maximum number of persons using the hall at one time shall be 150.

9.            Any individual, group or organization holding a meeting in the Library must hold harmless the Franklin Library, its trustees and staff, the City of Franklin and its officers, agents and employees from all claims from injuries, including death, damages or loss, which may arise in the course of the event.

10.         A copy of this policy must be read and signed by the authorized person representing the organization using the hall.

11.         Failure to abide by the Library’s Hall Policy may result in the cancellation or refusal of future reservations.
